Now that the date/time/location has been set, we need people to make it happen. Believe it or not, these things don't spontaneously erupt on the day of  Smile


I'll post up some "usual volunteer spots" and see who's up for doing what. There can be individual or group contributions - the important thing is that stuff gets done.


Location - someone needs to ensure that the hotel knows that we're coming. Often a block of rooms is set aside (hopefully at a reduced rate) up until a certain date. We'll need someone to make sure those rooms are held under the STN name and let the rest of us know
 - How much
 - Who to contact
 - Cut-off date for reservations

In addition, it would be nice to list alternative places to stay, for those who may have higher/lower standards  Razz


Food - We need to eat. There are a couple of ways to go about this:
 - arrange something to be catered and collect the money beforehand (I have done this and while it works out ok, its a real PITA)
 - arrange for everyone to show up around the same time at the same place. If this route is taken, then someone needs to find an appropriate location (ie, beer/food within staggering distance of the hotel) and make arrangements with the manager. Ideally, it'd be nice to get a room (or the whole place) reserved for the meal.

The other "up in the air" piece: one meal or two? Be sure to clarify if this is Tuesday or Wednesday night's meal. Perhaps make formal arrangements for one night (Tuesday?) and merely suggest a casual meeting place/restaurant for the other night. Again, there are no set rules, so whatever can be made to happen will be appreciated  Thumbsup


Routes - Those with intimate knowledge of the local roads may want to put together some maps with route options. They should be clear enough to follow and include estimated completion times and possibly some other information such as fuel/food along the way, scenery options and road conditions (twisties, sweepers, gravel). The rides at National meets are usually not well organized. It is up to you to figure out where you want to ride, when you want to head out and with whom you want to ride. Pre-printed routes can be a boon to getting riders together.


Shirts - this one's totally optional and up to the energy and creativity of our members. We'd need to find someone to design the shirt (refer to past Nationals for shirt ideas, or just go crazy with your own). And then someone to print them. Desteenation is no longer an option (we lost our STN contact there) but I'm sure that there are others here who can/will step up to the plate. Shirts can either be pre-shipped to the individuals or shipped en masse to the hotel and then handed out. Both have their up/down sides.


Prizes - once upon a time we handed out prizes. This hasn't happened for a while, but if there's some bored and overly enthusiastic member who would like to source out the prizes (newenough, aerostitch, etc) and then figure out the basis on how to distribute them, by all means don't let anyone hold you back!  Bigok


So if any (all???) of these look like something that you'd be interested in helping out with post up here so others know that something is being done. And just because someone wants to do something on the list doesn't mean that they may not appreciate some help.

I'm thinking about it.  I've watched Garry enough to have a pretty fair understanding of what works.

The only thing I won't do is prizes again.  That's a big PITA.

Yes, I was going to wait for the first of the year to announce.  I will start things rolling the first of the new year by contacting the hotel and getting a block of rooms then discuss group dinner options.  

I have a clover leaf style route planned but I know there will be many other route contributors.  

We'll get a t-shirt thread started in January too.

As for prizes, I helped Garry with this for ESTN in '08.  I hate asking for things, it's not my nature.  But, I fell a few contacts with some of the major suppliers to our "type of people" is in order to see what the vendors may send out.  I will heavily solicit help with this from other members.

I have GPX files and have ridden all of them within the last 3 years.  

(Also have a few new ones laid out that I'd like to try.)

I even still have 2 rolls of raffle tickets left over from previous meets.   Bigok

Although...

I do have an assortment of items that can be used as prizes or possibly used to put together a makeshift trophy of sorts.  I'll pack the glue gun.  Bigsmile

Of course, this is all dependent on whether I can even make it to this years National.  Headscratch

Thanks Chris!  I know both companies came through for me when I gathered up prizes for ESTN in 2008.  Another one to contact would be twisted throttle.

BTW, when I was at Mid-Ohio a few weeks back, I talked the race track and KTM into giving me some swap to give away.  I'll bring it with me.

I just had a brand new (w/ tags) First Gear riding jacket donated to me* for a door prize give away.  Now all I have to do if figure out how to get it there, especially if I ride the Super Duke.

* Actually, I just had several First Gear jackets given to me to sell for a friend.  He told me I could keep one of them to give away as a door prize at the meet (that was very generous of him).  

I'll be taking pictures of the jackets this weekend and posting them on STN for sale.  The price of the jackets will be to PM me your best offer.  I know they're trying to get ~50% of retail out of them.  At the pace I'm going now, most of them will be sold before I list them up on STN this weekend.

Sell it, give it to a friend, trade it with someone.  Hey, it'll be a $200 MSRP prize.  They can do w/ it what they like.  I know Steve gave away a rear tire at ESTN 2007.

quick update.

1)  group dinner set and we have a good list of people who have paid so far.  

2)  I have a few door prizes which I just shipped out to the hotel today via UPS

3)  I have a roll of tickets which can be used to a) gain access to the group dinner and b) be used for the door prizes.  I'll need to remember to print out the list of folks who have paid.  I can hand out the tickets just before the dinner or as people are walking in the door.  

4)  Chris has gathered some door prizes.  Is that correct?  (if so, big thanks!)

5)  Is anyone bringing nametags?  

6)  SWRiverstone told me he may be preparing paper maps for folks w/o GPS units.

7)  what am I missing?    Lol

If anyone would be interested in helping pass out door prize tickets and have people fill out name tags just before the dinner on Tuesday night, I would appreciate it.  I'm not really looking for someone to help me per se, I'm looking for someone who will be ready to fill in just in case I'm not able (e.g. not back in time for dinner).  Call it a contingency plan.

That's what I'm afraid of doing.   Lol

I know some folks noted they usutally wrap up their day early and may be back well before some others.  I know I have a planned 300+ mile day that day.  Though I believe I can get in the miles in time, one just doesn't know what may happen during the day (detours, bike issues, etc...).

So assuming that you're running late, where should the prospective volunteer(s) go to find out what to do and stuff to do it with? Will you leave tickets and nametags at the front desk with an instruction sheet? That's what I suggest  Smile
